These Terms of Service apply to services provided under the Japanztravel brand by Pacifica Trails ("Japanztravel", "we", "us"). By purchasing or using our services, the customer agrees to these Terms.
Japanztravel provides personalized travel planning, consultation, research, itinerary preparation, coordination and concierge services. Depending on the individual request, our services may include:

Customers may contact Japanztravel with their travel requirements and preferences. Based on the information provided, we may prepare a quotation, proposal or suggested scope of service.
A quotation may specify the applicable service fee, included services, expected timeframe and any additional conditions applicable to the individual request. Prices and availability relating to travel services are subject to change until confirmed by the relevant provider.
Japanztravel may charge fees for planning, research, consultation, itinerary preparation, coordination, concierge assistance and other agreed services. The applicable fee or method of calculating the fee will be communicated to the customer before the relevant paid service begins.
Unless otherwise agreed, payment is required before work on the relevant service begins.
Additional work requested outside the originally agreed scope may be subject to an additional fee. Where applicable, this will be communicated before the additional work is undertaken.
Travel services such as transportation, accommodation, restaurants, attractions and activities may be provided by independent third-party providers. The conditions applicable to those services, including availability, schedules, cancellation conditions, refund policies and operational requirements, are determined by the respective provider.
Japanztravel may assist customers with research, communication and coordination concerning such services.
Travel prices and availability can change rapidly and may be affected by demand, exchange rates, provider policies and other circumstances outside our control. Information provided during research or consultation reflects the information reasonably available at that time.
Unless expressly confirmed otherwise, prices and availability presented during planning should therefore be regarded as current information rather than a guarantee that the same conditions will remain available at a later time.
Customers are responsible for providing accurate and complete information reasonably required for us to perform the requested services. Customers should carefully review important travel information provided to them, including:
Customers are responsible for ensuring that they possess the passports, visas, permits and other documentation required for their journey. Where requested, Japanztravel may assist with researching such requirements. Final requirements are determined by the relevant governmental or competent authorities and may change.
Travel arrangements may be affected by schedule changes, cancellations, weather, transportation disruptions, government restrictions or other circumstances. Where such circumstances arise, Japanztravel may provide reasonable assistance within the scope of the customer's service.
Where substantial additional work is requested beyond the originally agreed service, an additional service fee may apply. Any such fee will be communicated before the additional paid work is undertaken.
Customers may request cancellation of a Japanztravel service by contacting us. Refund eligibility will depend on the applicable service, the conditions communicated at the time of purchase and the amount of work already performed.
For personalized services that have already commenced, fees corresponding to work already performed and costs already incurred may be non-refundable to the extent permitted by applicable law.
Cancellation, modification and refund conditions imposed by third-party providers are governed by the respective provider's conditions.
Japanztravel makes reasonable efforts to provide accurate, current and useful information. However, information originating from airlines, hotels, transportation providers, government authorities, booking systems and other third parties may change without notice.
Customers should verify particularly time-sensitive or legally significant information with the relevant provider or authority where appropriate.
Japanztravel will exercise reasonable care in providing its services. Independent travel providers remain responsible for the services they provide and for matters within their own control.
Japanztravel will not be responsible for losses resulting solely from circumstances outside our reasonable control, subject always to applicable law. Nothing in these Terms excludes or restricts any liability or consumer right that cannot legally be excluded or restricted under Japanese law.
Personal information is handled in accordance with the Japanztravel Privacy Policy. Customers should provide only information reasonably necessary for the requested service.
Where information concerning another traveler is provided, the customer should ensure that they are authorized to provide that information for the relevant purpose.
Original itineraries, travel plans, research materials, written recommendations and other materials prepared by Japanztravel are protected by applicable intellectual-property laws. Customers may use materials prepared specifically for them for their personal travel or internal business travel purposes.
Commercial reproduction, redistribution or resale without our permission is prohibited.
Japanztravel may communicate with customers through email, telephone, messaging applications or other communication channels agreed with the customer. Customers are responsible for ensuring that the contact information they provide is accurate and that they can receive important communications relating to their service.
We may update these Terms where reasonably necessary to reflect changes to our services, business practices or applicable requirements. The latest version will be published on our website.
Changes will not retroactively alter agreed material terms of an existing paid service unless required by law or agreed with the customer.
These Terms are governed by the laws of Japan. Nothing in these Terms affects rights available to consumers under mandatory applicable law.
